Rates & Terms
We hold standard agency and DMC partner rates so there’s room for your markup on every event. To protect your pricing with your client, we share rates one-to-one rather than publishing them — tell us about your agency and we’ll send them right over. Established partners can run the balance on net-30 after the event, so payment lines up with how you invoice your client.

Yes. We arrive unbranded and deliver the activation under your brand — your client stays yours, start to finish. We hit your run-of-show, coordinate with your on-site lead, and never contact your client directly. Custom liveries can carry your client’s branding on the cars, the track and the broadcast.
You get a named account lead before the event and a dedicated on-site race director on the day — running the activation to your run-of-show, coordinating directly with your on-site contact, and reachable on a direct line throughout. You stay in control of your client; we handle the floor.
Yes. A deposit reserves your date and covers our hard costs; from there we work with standard agency billing. Once we’ve delivered a program together, established partners can run the balance on net-30 after the event — so payment lines up with how you invoice your client. New partners start on our standard deposit-and-balance schedule, and net terms open up as the relationship builds. Exact figures are laid out in your written proposal.
Yes. We carry general liability coverage at $1M per occurrence / $2M aggregate and provide a Certificate of Insurance on request, naming your client and the venue as additional insured. Your W-9 and references are ready to send, and we’re happy to sign your vendor agreement or MSA. We’ve delivered activations for NASCAR, Epay Policy, Bimmer Invasion, MD&M West and at the Long Beach Grand Prix — references available on request.
We arrive about three hours before doors for load-in, setup and calibration, and we’re packed out about an hour after close — all off the clock, outside your event hours. Exact arrival and clear times go into your run-of-show with the proposal.
Most of our activations run outdoors — piers, parking lots, festival floors — so weather is a planned-for variable, not a surprise. We coordinate placement and cover with your venue during scoping, and if severe weather ever makes it unsafe to operate, your date reschedules without penalty. The terms are written into the agreement, so there’s no day-of negotiation.
All major credit and debit cards, processed securely through Square. A deposit reserves your date and the balance schedule is laid out in your written proposal — established partners can run the balance on net-30 after the event.
Our rigs, our risk. Every session is run by our crew, guests sign a quick waiver before driving, and Trackside carries insurance on all equipment — you’re never billed for equipment damage during normal, staffed use.
We reply to every inquiry within one business day. For dated programs we recommend reserving three to six weeks out; we accommodate shorter timelines when the calendar allows.
