Less than you’d think — just a bit of floor space and a normal wall outlet. Each simulator has a tidy footprint of roughly 4.75 ft wide by 8 ft deep, and two rigs run comfortably off a single standard household outlet — no generators, no special wiring, no rewiring your ballroom. We deliver, set up, run and break down everything else: the simulators, the big-screen broadcast and a dedicated race director. We load in about three hours before doors and are out about an hour after close — all off the clock. Indoors or out, ballroom or parking lot, we slot in cleanly and keep your run-of-show on schedule.

Planning your event
Programs scale by simulator count. Each rig runs about 15 to 20 drivers per hour, and that throughput multiplies with every simulator you add — so three rigs (our most-booked setup) keep a steady grid running for anything from an intimate executive dinner up to a 200-guest off-site. A qualifying → heats → grand-final format keeps everyone engaged, not just the person in the seat.
We arrive about three hours before doors for load-in, setup and calibration, and we’re packed out about an hour after close — all off the clock, outside your event hours. Exact arrival and clear times go into your run-of-show with the proposal.
Most of our activations run outdoors — piers, parking lots, festival floors — so weather is a planned-for variable, not a surprise. We coordinate placement and cover with your venue during scoping, and if severe weather ever makes it unsafe to operate, your date reschedules without penalty. The terms are written into the agreement, so there’s no day-of negotiation.
We reply to every inquiry within one business day with availability and a single recommended program. For dated corporate events we recommend reserving three-to-six weeks out; we accommodate shorter timelines when the calendar allows.
Yes. We carry liability coverage and provide a Certificate of Insurance for your venue on request, along with a clear run-of-show so your facilities and AV teams know exactly what to expect.

Everything needed to run the experience: a dedicated race director running the show, professional simulators, a live leaderboard and custom intro screens — plus delivery, setup and breakdown within 30 miles. Custom liveries — your brand on the cars — are included from The Grand Prix up, and available as an add-on on any tier.
No problem. The 5 hours is pure event time — setup and breakdown are on us, off the clock. If you need a longer window or multiple days, tell us your timeline and we’ll quote it in your proposal.

Race sessions, unique drivers, throughput per hour, brand-exposure hours, first-time vs. returning participants and simulated miles — handed back as a clean post-event report. We can also integrate lead and survey capture directly into the queue.

Yes. We arrive unbranded and deliver the activation under your brand — your client stays yours, start to finish. We hit your run-of-show, coordinate with your on-site lead, and never contact your client directly. Custom liveries can carry your client’s branding on the cars, the track and the broadcast.
You get a named account lead before the event and a dedicated on-site race director on the day — running the activation to your run-of-show, coordinating directly with your on-site contact, and reachable on a direct line throughout. You stay in control of your client; we handle the floor.
Yes — we hold standard partner rates for planners, DMCs and agencies so there is margin in every booking. To protect your pricing with your client, rates are shared one-to-one rather than published. Tell us about your agency in a quick note and we will send them over.
Yes. A deposit reserves your date and covers our hard costs; from there we work with standard agency billing. Once we’ve delivered a program together, established partners can run the balance on net-30 after the event — so payment lines up with how you invoice your client. New partners start on our standard deposit-and-balance schedule, and net terms open up as the relationship builds. Exact figures are laid out in your written proposal.
Yes. We carry general liability coverage at $1M per occurrence / $2M aggregate and provide a Certificate of Insurance on request, naming your client and the venue as additional insured. Your W-9 and references are ready to send, and we’re happy to sign your vendor agreement or MSA. We’ve delivered activations for NASCAR, Epay Policy, Bimmer Invasion, MD&M West and at the Long Beach Grand Prix — references available on request.
Our rigs, our risk. Every session is run by our crew, guests sign a quick waiver before driving, and Trackside carries insurance on all equipment — you’re never billed for equipment damage during normal, staffed use.
